Operations Assistant

The Operations Assistant will join a service-focused team to assist with finance and administration functions at the U.S. Global Leadership Coalition (USGLC). The ideal candidate is dedicated and passionate about administrative functions and have a positive outlook and can-do attitude. Must be professional, courteous, organized and detail-oriented. This position will be based in Washington, D.C. once the organization returns from the remote work environment.

Primary responsibilities will include:

Accounting:

  • Collect, review, organize, and prepare invoices for weekly payment disbursements.
  • Organize and maintain disbursement files electronically with proper back up.
  • Prepare credit card reconciliation for the corporate accounts.
  • Data entry of cash receipts and maintenance of proper back up.
  • Assist with maintenance of fixed assets and relevant schedules.
  • Review travel expense reports for accuracy.
  • Ensure and maintain accounting controls at all times.

Operations:

  • Serve as the liaison between the staff and technology provider on day-to-day needs – devices, telephone, A/V equipment, copiers, printers, and MS Office software.
  • Serve as the liaison, and provide on-going support, between the staff and building services.
  • Manage all institutional subscriptions – print and electronic.
  • Assist with the technology onboarding process with new staff.
  • Other duties as assigned.

Qualifications and Personal Attributes:

  • College degree preferred but adequate experience may be substituted for educational qualifications. Prefer a minimum of two years of office administration experience.
  • Extremely detail oriented, organized and able to prioritize and multitask.
  • Must have strong communication skills – written and verbal.
  • Must understand basic office technology – hardware and software.
  • Exceptional customer service – internal and external.
  • Experience with QuickBooks; MS Office products – Word, Excel and PowerPoint.
