Executive Assistant to the President & CEO

The U.S. Global Leadership Coalition is seeking a creative, energetic, detail-oriented professional to serve as the Executive Assistant to the President & CEO. This individual will coordinate and execute a wide range of tasks and projects for the executive office. The position requires a mature candidate who is versatile, tactful, deadline-driven, motivated and organized.  He/she must be able to multi-task and be comfortable working in a fast-paced, high-energy environment. The position will reside in Washington, D.C. and report to the President & CEO.

Position Requirements

This position requires a minimum of a Bachelor’s Degree and 5-7 years of professional experience. Solid communications (written and oral) and interpersonal skills are essential.  He/she must be proficient in Word, Outlook, Excel and PowerPoint, and be highly organized with an ability to juggle multiple tasks.

Responsibilities Include

  • President/CEO’s Schedule & Travel Support. Provide support to President/CEO by strategically managing her schedule for internal and external meetings and appointments in order to maximize the office and platform for the organization’s mission.
    • Provide strategic support to manage schedule for USGLC and Schrayer & Associates.
    • Contact and follow-up with offices to schedule and confirm appointments.
    • Ensure that President/CEO has background materials in advance of meetings.
    • Provide any necessary follow-up materials after appointments.
    • Handle President/CEO’s travel arrangements and prepare logistics memos for all trips.
  • Meeting Support. Prepare and assemble materials for the President/CEO’s internal and external meetings; oversee appropriate follow-up after meetings.
    • USGLC Board of Directors. Support USGLC team in preparing and assembling materials for Board of Directors meetings and on-going communications.
    • Meeting Preparation and Follow-up. Draft meeting notes and prepare follow-up materials, including thank-you notes, as necessary.
    • Internal USGLC Support. Oversee and manage the President/CEO’s USGLC email account; solicit input and prepare agendas for weekly senior staff meetings.
  • General Office Administration – Responsibilities include greeting guests, answering the primary phone line of the organization, receiving and distributing incoming mail and packages, managing conference room reservations, conference call line reservations and monitoring organization’s print and online subscriptions. Additionally, responsible for managing office and pantry supply needs, acting as the primary contact for building-safety, trainings and maintenance requests.
